Connecting a Facebook Page and Instagram account helps you manage content, messages, and ads with a consistent business identity. However, saying “the accounts are connected” is not enough. Check which business portfolio holds the assets, their connection to each other, and employees' task permissions separately. Verify a successful connection by trying the intended workflow.
Check ownership and access before connecting
First write down the Facebook Page name and ID, Instagram username, and relevant business portfolio. Compare profile links to distinguish similarly named accounts. Full control and task access for a Page can provide different permissions. Connecting accounts may require permissions beyond publishing content. If your access is insufficient, ask the current responsible person to help; do not try to solve the issue by opening a new Page.
Check that the account owner has the Instagram login details and security verification method. If the person making the connection is signed into another personal Instagram account, the wrong asset may be connected. Read the username again in the connection window. Working through the screen with the owner is a more orderly approach than circulating verification codes in team messages.
Distinguish three separate connections
The first relationship is between the asset and the business portfolio. The second is between the Facebook Page and Instagram account. The third concerns access for people using the ad account and the ad identity. Completing one step may not establish every other relationship correctly. Also distinguish Accounts Center, which manages personal connected experiences, from business asset settings. Base your checks on your publishing, messaging, and advertising needs.
Add the Facebook Page to the business setup
- Select the correct business portfolio in Meta Business Suite.
- Find the Pages or business assets area in settings.
- Consider whether to add the business's own Page or request access to another business's Page.
- Identify the correct Page by name, link, or ID.
- Read the ownership and permission explanations and complete the required approvals.
If you manage a client's Page, arrange access for your service rather than taking ownership into your own business. If existing ownership triggers a warning, investigate which portfolio manages the asset first. The approval requested by the interface may require another authorized person to act; record any pending approval.
Connect the Instagram account
Open the Instagram accounts or business assets area in Business Suite settings. Choose the option to add or connect an account, sign in with the relevant Instagram account, and complete the permissions and verification steps shown. If a professional account prompt appears, assess the account type and the business's needs. Then check the Page-to-Instagram connection in the relevant linked accounts area. Menu names may vary with devices and updates; use the actual account shown on screen as your reference.
Verify the connection with a real task
Start by checking that the connected Instagram username is correct. Then try the content scheduling or inbox feature that the business needs. If you will advertise, open a new draft in Ads Manager and check that the expected Page and Instagram account can be selected in the identity section. You do not need to publish the draft. This check verifies the purpose of the connection within the workflow and helps prevent preparing an ad under the wrong identity.
An example team arrangement
For example, consider a bookshop with two branches. The business has one Facebook Page and one Instagram account, and the content team publishes for both branches. Portfolio and account IDs are kept in one inventory, and employees receive task-appropriate access. The ad owner checks the bookshop's accounts in the identity field. The messaging owner asks which branch an inquiry concerns. This example shows that connecting accounts also requires preparing the related business processes.
Common mistakes and the troubleshooting order
Common mistakes include signing in with the wrong Instagram account, trying to add another business's asset to your own portfolio, and failing to check people's permissions after connecting. When an issue appears, inspect the selected portfolio, asset ID, ownership, user permission, and pending approvals in that order. Record the full warning rather than repeating the same action. Before removing a connection, assess the possible effects on content, messaging, and active advertising with the responsible people.
Keep the check note with the person who made the connection, the date, and the task tested. The next employee should be able to see which operation worked.
Final checklist
- The Page name, ID, and Instagram username are correct.
- The business portfolio and asset ownership are documented.
- Required user permissions and security verification are complete.
- The connection between the Page and Instagram was checked.
- The content or messaging workflow was tested by an authorized person.
- The expected business identities are selectable in an ad draft.
- Pending approvals and error messages are recorded.
